Create a new survey (package)

  • It is possible to set up survey reminders to participants who have not yet completed their survey after a certain period of time: Survey reminders

  • To create a survey, navigate to the Structure and continue to Surveys 
  • Here you will be able to see all the surveys that have been created in this study
  • Click the Add button to add a new survey form
  • Fill in the name, description, introductory and outro text if needed.
  • This will be an introductory and outro text for an individual survey.
  • Once we have created the survey, we will need to create the survey steps
  • First select your survey from the list and then in the Steps panel, click the Add button to add steps to the survey structure
  • Steps are the sections which contain the survey questions.
  • Once the survey structure is complete, add questions by opening the survey in the Form editor and selecting fields from the right panel.
  • Now the survey form is finished.
  • To be able to send a survey, create a survey package in the Structure 
  • In the Survey packages panel, click on the Add button to add a survey package
  • Edit the survey package details in the pop-up window
  • Name is the title of the survey package which will be displayed for the participant as we saw previously
  • Invitation sender is a person who will appear as a sender. 
  • The standard address from which surveys are sent is [email protected]
  • This will always appear as the sender email address. 
  • When you select a user email address as the sender, the user will still receive an email from [email protected], but the name of the user will appear as sender.
  • In addition, the survey participant can reply to the email and the reply will be sent to the selected sender email address. 
  • Fill in the invitation subject and an invitation message
  • The invitation message contains the text that the responded will see when they receive the invitation email with their unique survey link 
  • An invitation message must always contain the url tag in the curly braces
  • Once the survey is sent, the participant will see the actual link instead of this tag.
  • A survey package has several useful settings
  • Lock survey if finished locks the survey after the respondents clicks on the ‘finish survey’ button. 
  • After the survey is locked, data in the survey invitation can not be changed anymore
  • Auto send is an advanced feature which is used for creating surveys with the API
  • Allow step navigation allows to click through the step navigator if shown and jump to different steps of the survey
  • The setting show step navigator will display a list of the Steps of the Survey on the left hand of the Survey data entry interface
  • Enabling Force step completion obliges participants to complete all required fields of a Step before they can continue to the next Step
  • Finished URL: when a respondent completes all the surveys in the survey package, a "Finish" button will appear instead of the "Next Step" button. 
  • Clicking the finish button will take the respondent to the URL specified here.
  • In the intro text you can place an introductory text that will be shown as the first page of the survey package. 
  • The outro text will be displayed as the last page of the survey package. 
  • The intro and outro text that you make at the survey’s tab will be shown at the beginning and end of the survey itself.
  • In the Survey selection tab you can choose which surveys you want to add to the survey package and in which order you want them to appear. 
  • Click Save to save your new survey package
  • You can define the sending patterns of survey packages by clicking on Configure schedules
  • You can add a name for your schedule here.
  • The sending pattern determines when the survey package will be sent, this is counted using days.
  • For example, entering 0,7,14,21 means that the survey will be sent instantly, then 7 days after activation, then 14 and so on
  • Removing the zero in the pattern will schedule the survey in 7 days, then 14 days and so on.
  • After creating a survey or a survey package, you can always edit the properties by clicking on the cogwheel
  • As you can see, there are other options available, such as deleting and copying the survey.
  • Be careful when deleting a survey in a live study, as the collected data will be removed too.
  • You cannot delete a survey package yet if there are invitations created using the package.
